Workflows For Smoother Processes
To coordinate and streamline its business process, the VCMS module incorporates a workflow to ensure essential steps are documented as Veterans progress through the system. Steps are enforced by using business rules and permissions, enabling case managers to build a plan, establish goals, document notes, and track progress. The case status is updated as Veterans work through the process.
User Friendly Forms
The VCMS includes 21 of the most frequently used Department of Veterans Affairs forms and creates a single point of data entry to auto-populate form fields with Veteran’s demographic information. Counselors complete additional fields on the form and print for the Veteran’s signature. Submission of the form is logged for each Veteran and can be edited as needed.
Robust Reporting Capabilities
In addition to a daily claims log report that displays daily activity by type, office or date, users can monitor performance by office and area to ensure goals are being met. Reports of the top six measures for monthly, quarterly, and annual bases are available as well as activity reports by offices. All reports can be exported in several formats, allowing further analysis by managers.
Import Data with ease and accuracy
The capability to preserve existing data while adding new details is the key to a complete and accurate database. Use of XML enables a wide variety of data sources, so your office can compile the various pieces of data into one complete system. Imports can be executed multiple times from a variety of source files or existing databases. As the new data is added, old data is preserved creating a high level of organization and efficiency. In addition, no duplicate data is allowed ensuring Veterans’
records are unique and accurate.
Security / Privacy
To guarantee claims information is transferred securely, the system uses a versatile security protocol to allow administrators to
define user roles and levels of access throughout the application. This allows secure claims information to be viewed by users based on your organization’s needs (VA accreditation, assigned POA, supervisory level, regional office, state headquarters). Each Veteran can be associated with an individual office or counselor, and each office can be connected with a group of offices. To ensure privacy, access can be set so that users only see records associated within their office groups. Access can also be set so that only accredited counselors with a specific POA can view a particular veteran’s records.
